Documentation Specialist

As a Documentation Specialist, you will be responsible for preparing, distributing and storing customer and supplier documents accurately on time for projects as per the company’s/ project’s procedure and ensuring effective version control and status tracking Reporting to Engineering Manager, ensuring that documentation is maintained in compliance with the company's/project’s procedures, including format, receipt, registration, number, filing, recovery and the issue of documents. This position is based in Singapore.

Your responsibilities
- Managing documentation to ensure proper version control in the document management system
- Assisting in the preparation of the project document list, periodically update and issue the document list
- Setting up the documentation management system and document control process in conjunction with the project team
- Ensuring that review, numbering, distribution, filing and registration are in compliance with procedures
- Communicating deadlines to the project team for document delivery. Organizing final documents and maintain them in the internal or external archive. Monitoring and reporting actual versus planned time for document management work packages
- Supporting colleagues with advice and guidance on documentation control issues. Providing coaching and guidance to less experienced colleagues
- Contributing to process enhancements related to document management and apply the document management system efficiently
- Monitoring the progress of project documentation, update the receipt and document distribution information register
Your background
- Bachelor or Diploma Degree in relevant field
- Minimum 5+ years of relevant experience
- Expert knowledge in MS package particularly excel and word
- Strong attention to details
- Good communication skills
- Team player and good collaborations skills
